GHL Lead-Capture Pipelines & Automation (Client Work)

GoHighLevel management for client landing pages: building lead-capture pipelines that pull enquiries off funnels and landing pages, then notify the business owner instantly on every new signup so no lead is missed.

Overview

GoHighLevel work for client accounts: CRM pipeline setup, funnel to pipeline field mapping.

Automated notifications and webhook wiring across sub-accounts. The configuration layer, not the page.

The problem

What was in the way

A landing page is not a lead system.

Most funnel builders hand over a page that looks right and stop there. The client finds out weeks later that submissions are sitting in a form dashboard nobody opens, or arriving in an inbox with no record on the contact, or landing on a pipeline stage that was never configured so every opportunity sits in New forever.

The same four things, in roughly this order.

Every opportunity sitting in the first pipeline stage, because no automation ever moves them and nobody moves them by hand.

Form submissions in the notes field as one block of text, because no field mapping was set, so nothing can be filtered or segmented.

No notification at all, or a notification going to an address the owner stopped reading.

The page was never the hard part. The wiring behind it is, and it is invisible in a screenshot, which is why it gets skipped and why it is missing from most GoHighLevel accounts I inherit.

What I built

Five parts, each with a reason

CRM pipeline setup

Stages matching how the client actually sells. A default GoHighLevel pipeline describes a generic process and fits nobody, so opportunities pile up in the first stage and the pipeline value is meaningless.

Stage names come from the client's own language. If they say "site assessment booked", that is the stage.

Webhook wiring across sub-accounts

Funnels connected out to external systems and responses connected back, applied consistently across client sub-accounts rather than configured once and forgotten.

Consistency across sub-accounts is what makes an account maintainable by someone who did not build it.

Field mapping from funnel to pipeline

Every field on the form mapped to the correct field on the contact or opportunity. Suburb to the location field, job type to a custom field, budget to a custom field.

Without mapping, a submission arrives as a paragraph in the notes and nothing is filterable, segmentable or reportable. It is the difference between a CRM and a list of messages.

Automated owner notifications

Triggered on opportunity creation, not on a schedule. In local services, speed of response decides the job, so a digest is worthless.

What a correct setup contains

Pipeline stages named in the client's language. Custom fields created before the form is built rather than after. Field mapping verified with a real submission, not assumed. Notification triggers tested from the live form. Webhooks with their responses checked rather than fired and hoped for.

Then the same configuration applied across every sub-account, so the account is maintainable by whoever comes next.

How it was built

The engineering underneath

GoHighLevelPipelines, automation triggers, webhooks and sub-account configuration
WebhooksForm submissions wired through to the pipeline rather than left in a dashboard
No codeNo hosting and no separate CRM to maintain alongside it

GoHighLevel pipelines, automation triggers, webhooks and sub-account configuration. No code, no hosting, no separate CRM.

Sub-accounts configured differently from each other, so a change that works in one does nothing in the next and nobody can say why.

None of these are visible from the front end. The funnel looks finished.

Why it is listed as its own project

Because it is the part clients do not know to ask for, and the part that determines whether the rest of the spend works. A funnel with no pipeline configuration produces leads nobody actions.

It has no screenshot. That is precisely the point.

Why it matters for your project

I build software, and I measure whether it works.

The same questions I research are the ones I ask on client builds: is it reliable, is it fast, is it easy to use, and is it secure. Those four drove satisfaction in my ICT portal study, and they shape how I scope and test every project.
